Project Coordinator (Embroidery Dept.)

The Embroidery Coordinator is responsible for following customer embroider orders through the entire process, from order receipt to order shipment and delivery. The Embroidery Coordinator communicate across all teams including Sales, Customer Service, Embroidery, Sourcing, Finance, and multiple Warehouse Operations to ensure accurate order fulfillment.


  • Communicate with customer to identify and assess their needs for accurate order placement.
  • Confirm product availability, pricing, and logo with Customer.
  • Verify pricing including embroidery, first time digitized set up fees, and royalties if applicable.
  • Coordinate with Customer, Sales Representatives, Embroidery, Sourcing, Finance and Warehouse, on specifications for each order.
  • Follow and track each sales order through each stage of production and shipment.
  • Discuss Customer design requirements with Embroidery team and provide production approval.
  • Coordinate with Warehouse to verify shipping and handling requirements of each sales order.
  • Manage Embroidery Work In Progress (WIP) file and reporting daily/weekly.



  • High school degree or equivalent preferred
  • 5+ years’ experience in customer service or project management or 1-2 years’ experience working with embroidery
  • Thorough understanding of the Sales Order (SO) process from order initiation to order shipment.
  • Ability to work in a fast-paced environment.
  • Intermediate skills in Microsoft Office.
